FaxDirect Privacy Policy

What the desktop application handles, where it is kept, how it is protected, and how to have it removed.

FaxDirect is a desktop application published by NetLayers that lets organizations send and receive faxes from their computer over the NetLayers voice network. This policy explains what information the application handles and how it is protected.

01Information we handle

  • Account credentials

    To connect to your fax mailbox, FaxDirect stores the sign-in details you enter. These are kept on your own computer in encrypted form and are used only to connect to your fax service.

  • Fax documents

    Faxes you send and receive are processed by the application and a copy is kept on your computer so they can be viewed without reconnecting. Fax documents may contain personal information depending on how your organization uses the service.

  • Contacts

    Any contact details you choose to save — such as names, organizations and fax numbers — are stored on your computer.

  • Application settings and diagnostic logs

    Preferences and a basic activity log are stored locally to help the application run reliably and to assist with troubleshooting. Diagnostic logs record connection activity only; they do not contain the contents of your faxes.

02How information is used

Information is used solely to provide the service: connecting to your fax mailbox, displaying faxes, and sending faxes you compose.

We do not sell your information. We do not use it for advertising, and we do not share it with third parties for their own purposes.

03Where information is stored

Fax documents, contacts, credentials and settings are stored on your own device. Faxes you send are transmitted through our fax service in order to reach the recipient, and faxes addressed to you are delivered through it. Any text recognition used to help name saved files is performed on your device.

04Security

Stored credentials are encrypted on your device. Connections between the application and our services are encrypted in transit. No method of transmission or storage is completely secure, but we take reasonable measures appropriate to the sensitivity of the information involved.

Because fax documents are stored on your computer, keeping that computer secure — with a password, up-to-date software, and disk encryption where appropriate — is an important part of protecting the information it holds.

05Retention and deletion

Faxes and related data remain on your device until you delete them from within the application or remove the application's data. Deleting a fax within the application removes it from your device; depending on the action you choose, it may also be removed from your fax mailbox.

06Your choices and rights

You control the information held on your device and can delete it at any time. If you would like to know what information we hold in connection with your account, or would like it corrected or deleted, contact us using the details below. Where applicable law gives you rights over your personal information, we will honour them.

07Children

FaxDirect is intended for use by organizations and is not directed at children.

08Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
